02 — Data We Collect

What personal information is collected

Information you provide directly

When you contact Ralev via the website form, email, or telephone, you may provide your name, email address, telephone number, and the content of your enquiry. This information is used solely to respond to your enquiry and to initiate the coaching engagement if you choose to proceed.

During the onboarding process for coaching services, additional information is collected to support the design and delivery of your programme. This includes movement history, current activity level, stated objectives, and body composition measurements taken at defined assessment points. This information is held for the duration of the coaching engagement and for twelve months thereafter.

Information collected automatically

When you visit this website, standard server logs may record your IP address, browser type, operating system, referring URL, pages visited, and the time and date of your visit. This data is used for site security and performance monitoring. It is not used for advertising profiling.

Cookies may be set on your device during a visit to this site. Cookie categories, their purposes, and how to manage them are described in the Cookie Policy.

Training records and session documentation

Session notes, training log entries, goal-setting records, and progress check-in summaries are maintained for each active coaching engagement. These records are shared with the individual concerned as part of the standard documentation practice. They are not shared with any third party except in the limited circumstances described below.

03 — How Data Is Used

The lawful basis and purposes for processing

Ralev processes personal data on the following lawful bases under GDPR Article 6:

Performance of a contract (Art. 6(1)(b))

When you engage Ralev for personal training services, the processing of your contact details, movement history, and session records is necessary to deliver those services. This is the primary basis for processing coaching-related data.

Legitimate interests (Art. 6(1)(f))

Ralev processes website log data and uses functional cookies on the basis of legitimate interests — specifically, the interest in maintaining a secure, functional website and understanding how the site is used. This interest does not override individual rights; see your rights below.

Consent (Art. 6(1)(a))

Where optional cookies (analytics or preference-based) are used, they are set only with your explicit consent, which you may grant or withdraw via the cookie banner on this site.

Legal obligation (Art. 6(1)(c))

Where Ralev is required to retain records for legal or regulatory reasons — for instance, records relating to professional indemnity insurance claims — data is retained for the period required by the relevant obligation.

04 — Retention, Sharing & Your Rights

How long data is kept and who can access it

Retention periods

Contact enquiry data is retained for twelve months from the date of last contact. Coaching records — session notes, programme documents, body composition assessments, and goal-setting records — are retained for the duration of the engagement and for twelve months after it concludes. Website log data is retained for up to ninety days before being automatically deleted.

Data sharing

Ralev does not sell, rent, or share personal data with third parties for commercial purposes. Data may be disclosed in the following limited circumstances: to professional advisers (legal, accounting, insurance) bound by confidentiality obligations; where required by law or a court order; and to service providers who assist with the delivery of this website, subject to appropriate data processing agreements.

Where referrals are made to external qualified professionals (nutritionists, physiotherapists), only the minimum information necessary for the referral is shared, and only with the individual's knowledge.

Your rights under GDPR

You have the following rights in relation to personal data that Ralev holds about you:

To exercise any of these rights, contact Ralev at [email protected]. Requests will be acknowledged within 72 hours and responded to within one month.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit) at www.dataprotectionauthority.be.
